Event Kickoff Pre-Flight Checklist

The Majestri event system is ultra-flexible, which means there are quite a few knobs and dials that you can tweak to tailor the experience for both members and club administrators.

This checklist will help to make sure you've got everything in its right place before opening the gates.

Fee Schedule

If you are charging for this event, have you set your fee amounts?


We get so many support requests asking why registrants aren't being charged, only to find that the answer is simply the fact that no fee schedule was attached.

Is the fee structure correct? If changes are required, contact support@majestri.com.au outlining any structural changes that might be required. Do not open up the event and then ask us to make changes ASAP as people are already registering.

Hiding Fees Amounts
If utilising the ability to hide fee amounts, understand that doing so merely prevents people from viewing the fees until they have registered. It does not disable the ability for somebody to register into a playing group. You need to use Registration Rules in tandem with hiding fees to completely hide all traces of a playing group. Registration Rules are covered later in this guidance.

Registration Form

The Show Form Template link on your Event Setup will outline the information being captured for all people and roles on a registration (eg. Primary/Emergency Contacts and Players).

Check carefully that you are getting everything you need to know. Have everybody on the committee review it one final time, and if changes are required, send them to support@majestri.com.au as a single set so we can efficiently sweep through and make changes.

Registration Rules

If you can see a Registration Rules link down the right-hand side of your Event Setup, then there is at least one drop-down list on your registration form that you have some sort of control over in terms of:
  1. Whether a list item is visible at all.
  2. Whether a list item has a cap limit that can be applied to selection by registrants.
  3. Whether an offer is required in order for selection of that list item to be made. This only applies to Playing Groups where the Intake functionality is activated.

Check carefully that all items in each list should be available. If you have list items that aren't actually available until a future time, hide them to prevent them being selected.

Event Date Range

The event start and end date need more than perfunctory consideration, as they do have an effect on a few areas of the system:
  • If there are any fields on the form where DOB ranges are displayed, these are normally derived from the year of birth. In this case, ensure that the start date for the event is set to the year of competition in order for the year of birth to display accurately for a given playing group.
  • The event date range controls system access for event coordinators and team officials. Once an event is in the past, they rightly lose access.

Registration Date Range

Before you think about opening up the event for registrations, ensure that the registration date range is current. If you open up the event before the date window hits, you are going to get dozens of emails from your members stating that they can't register. Check this setting first.

Sports Vouchers

If Sports Vouchers can be presented as methods of payment for an event, ensure they are switched on. Vouchers are enabled per event.

This features applies to Premier subscriptions only.

Payment Methods

Give the payment methods and settings you are offering for this event a once-over.
  • If you are offering anything outside of credit cards, then it's likely you'll be chasing people for money at some point.
  • If you have Full Commitment enabled, then people must either pay in full, or, pay a deposit with the balance to be committed via a Payment Plan application.

Payment Plan End Date

When you copy an event, we bring most of the settings from the source event with the copy. This includes the end date for Payment Plan instalment schedules.

We have fielded many support requests with claims that members can't apply for Payment Plans at the checkout as expected. A big reason for this is that the default end date for Payment Plan schedules has already lapsed as it wasn't reviewed after copying an historical event.

Association System Requirements

Are players in this event also required to register in a system mandated by your governing body? Where the system supports it, there is a switch to activate our integration points, which will include:
  1. Presenting deep links to the front door of the registration process in the upstream system.
  2. The comparison functionality to be used once club registrations start coming in.
