Payment Processing FAQ

Majestri's payment processing services covers online credit card, BPay and direct debit payments that are offered to club members to pay their debts.

This page covers all of the questions we generally field about our payment processing services.

If your question doesn't appear in this page, please don't hesitate to contact us at support@majestri.com.au to ask it directly.

Why can't we pass on your 2.9% payment processing charge to our members as a surcharge?

We strongly discourage explicit surcharging of members for any of our payment processing services, and will not support it in custom fee calculators that we build for the club.

We do acknowledge that our payment processing charge of 2.9% is a cost to the club that can add up to a sizeable amount over the course of a year if they are used heavily by members, but there's also substantial cost to us to operate these services on your behalf too.

It comes back to what matters more to the club - cutting costs vs. risk and volunteer effort. All of our payment processing services are optional, so if you'd prefer to save the club some money and handle money directly, manually receipt payments, and make chasing debt a bit more difficult and long-winded, then that's entirely your decision. We're not going to get upset about it either. It's always going to be a question of whether the value is being received for that cost in the form of the system doing the bulk of the work to reduce the load on your current and future committee members. Our payment processing services do collect money quicker and more efficiently than 'traditional' methods - the anecdotal feedback we've had from our clubs to support this is now incontrovertible.

By attempting to transform our payment processing charge into a surcharge for members wanting to exercise that payment method makes no sense to us. It's such an extreme disincentive for them to settle their debt straight away, and our advice is to just turn off all of our payment processing options altogether. They won't benefit you the way they should.

Why can't we control online credit card as a payment option like we can for others?

Online credit card processing is a very different beast to any of the other payment options. The credit card schemes (Visa and Mastercard) have introduced a lot of compliance and regulation where payments are being processed for a credit card where the card can't be viewed (ie. "Card-not-present" transactions).

The card processing service that we offer to all clubs exacts a lot of scrutiny from the card schemes, via our banking partner Bendigo Bank. We have extremely onerous reporting and compliance requirements to operate this facility, and as a result, we need to be actively involved in the enabling/disabling of the credit card facility, as it directly affects our reporting and project transaction numbers. This is also the reason why we only offer the changing of the availability once in a 12-month period.

How do we get our money that you handle on our behalf?

As soon as you start using the system, one of your first jobs is to enter the club's bank account details (see here for guidance). Triple-check that you enter them correctly.

Every Tuesday, we execute a disbursement process in the system that calculates how much money we've handled for each of our clubs, across all of our payment processing services from the previous Tuesday through to close-of-business "yesterday" (the following Monday). We deposit a lump sum in your club bank account (minus our 2.9% payment processing charge). If you bank with Bendigo Bank like we do, you'll receive that money on the same day. If you bank with anybody else, it'll hit your account on the Wednesday.

What are the charges to the club for members who pay via EFT?

There is no charge. Our payment processing charges only apply when we handle money on behalf of the club. The downside of EFT is that your volunteers have to decode what the money in the bank statement is for and who it belongs to. Majestri invoices all have a unique reference on them - so that should be less of an issue if your member correctly sets that as a payment reference. Majestri then has a manual receipting function in the system that allows you to allocate that money against the member's debt.
